Apparel Inventory Accuracy

Your store says medium in black is in stock. The shelf should agree, every time, across every size of every style.

Why Apparel Counts Drift

Apparel has more ways to go wrong than most products. A catalog of near-identical variants, returns that come back in different condition, and drops that empty a size in minutes all push the count away from the truth.

    The usual causes:

  • Mixed bins

Several sizes in one location means pickers grab the wrong one, and two counts go wrong at once.
  • Receiving without checks

Inbound that is not checked against the advance shipping notice starts wrong and stays wrong.
  • Shared barcodes

If two sizes carry the same barcode, the system cannot tell them apart, however careful the picker is.
  • Returns left unprocessed

Sellable items sit in a pile instead of going back into stock, so the store shows sizes as sold out that are in the building.
  • Unscanned picks

A pick that is not scanned cannot be caught, and cannot be traced later.

What an Inaccurate Count Costs an Apparel Brand

Inventory accuracy sounds like a back-office metric. For an apparel brand it shows up on the front end. When the count says a size is in stock and it is not, you sell something you cannot ship. The customer waits, then cancels, and support spends time on an apology. When the count says a size is sold out and it is sitting on a shelf, you lose the sale entirely and never know it happened.

Drops make this worse. Demand concentrates in a short window, so a wrong count is exposed immediately. A drop that oversells the mediums produces a wave of cancellations on the best day of the month. A drop that under-reports stock leaves money on the table while the hype is highest.

Wholesale adds another layer. If you allocate stock to a retail purchase order based on a count that is wrong, the shortfall shows up at the retailer’s dock, where it can turn into a chargeback.

Four Checks That Keep Counts Right

Accuracy is not one step. It is a check at every point where a unit changes hands.

1. At receiving

Every inbound shipment should be matched against an advance shipping notice that lists each SKU and quantity. At OC3PL, inbound is inspected, matched to your ASN, scanned and labeled, and every SKU is photographed at receipt. Anything that does not reconcile is flagged in your portal rather than quietly absorbed into the count. The photos give you evidence to take back to a factory or into a freight claim.

2. In slotting

Every style is slotted by size and color, so a picker reaching for a medium in black is not digging through a bin of mixed sizes. A new collection is slotted and ready to ship within one business day of receipt.

3. At the pick

Every unit is scanned before it is packed. If a picker reaches for a large instead of a medium, the scan catches it at the bench, not in the customer’s inbox.

4. On returns

Returns are processed and logged within 48 hours of receipt, and many are handled the same day. Each item is inspected and restocked, discarded or donated by the rules you set. Fast processing matters for accuracy as much as for customers: a return that is restocked quickly is a size that is sellable again.

What You Control on Your Side

A warehouse can only be as accurate as the information it receives. These habits on the brand side make the biggest difference:

  • One unique barcode for every size and color combination, printed on each polybag, not only on the carton.
  • Consistent SKU naming: style, then color, then size, in the same order every time. See size and color variants explained.
  • An advance shipping notice for every inbound shipment, listing exact quantities by SKU.
  • Cartons packed by SKU where possible, with the SKU and quantity marked on the outside.
  • Written rules for returns: what is restocked, what is discarded, donated or sent back to you.
  • A heads-up before any change to bundle rules, product names or variant structure in your store.

If you are moving from another warehouse, export on-hand quantity by SKU, size and color before the move. That is the record you reconcile against when the new warehouse receives your stock.

Seeing the Count for Yourself

Accuracy you cannot see is accuracy you have to trust. At OC3PL, inventory is visible by SKU in your dashboard and syncs with your store, and weekly reporting from your account manager covers inventory status alongside service levels and shipping costs.

If a count looks wrong, you do not file a ticket and wait. You call your account manager, who works in the same building as your inventory and can walk to the location and look. We are here. We got you.

How OC3PL Keeps Counts Right

The four checks, in one place.

  • At receiving

Inbound is matched to your ASN, every SKU is photographed, and discrepancies are flagged in your portal.

  • In slotting

Every size and color in its own location.

  • At the pick

Every unit is scanned before it is packed.

  • On returns

Processed and logged within 48 hours of receipt.

Common Questions

Yes. Inventory is visible by SKU in your dashboard and syncs with your store, so you can see which sizes of which styles are running low.

You are notified, the discrepancy is logged in your portal, and the photos taken at receiving give you evidence to take back to your supplier or into a freight claim.

Usually because of unscanned picks, oversells while the store and warehouse sync, or returns from the drop that have not been processed. A scan on every pick and fast returns processing close most of the gap.

Yes. Each size and color should carry its own barcode on the unit itself, so it can be scanned at receiving, at the pick and when it comes back as a return.

Returns are processed and logged within 48 hours of receipt, and many are handled the same day. Restockable items go back into active inventory.
