What Same-Day Fulfillment Means

Same-day fulfillment is about when an order leaves the warehouse. The cutoff time decides which orders make it.

Shipped Today, Not Delivered Today

Same-day fulfillment means an order placed before a set time is picked, packed and handed to the carrier that same day. It is not same-day delivery. Delivery time then depends on the carrier service and the distance.

    The parts:

  • The cutoff

The time of day an order must reach the warehouse to ship that day.
  • The pick and pack

The warehouse work between the order arriving and the box being sealed.
  • The hand-off

The moment the carrier takes the package. That is when it has truly left.
  • The transit

The carrier’s part, which depends on service and zone.

What a Cutoff Time Is

One clock time that sorts orders into today and tomorrow.

A cutoff is the time by which an order has to reach the warehouse system to ship the same day. Orders that arrive after the cutoff ship the next business day. The cutoff exists because pickers, packers and the carrier pickup all run on a schedule.

At OC3PL: Orders imported by 12 PM PST ship the same day. That cutoff applies across the pick, pack and ship workflow and the apparel service. Because the warehouse sits near major carrier sorting hubs in Southern California, packages can be handed off later in the day and still make that night’s outbound.

Imported is not the same as placed

The cutoff counts from when the order reaches the warehouse system, which is usually seconds after checkout through an integration. If your store holds orders for fraud review, address checks or preorder release, those orders reach the warehouse later. Know your own hold rules.

What "Shipped" Should Mean

A label is not a shipment.

Some operations count an order as shipped when the label is printed. The customer’s tracking page then sits on "label created" while the box waits on a shelf. Ask any 3PL what event counts as shipped: label creation, or the carrier taking the package.

EventWhat it meansWhat the customer sees
Order importedThe warehouse system has the orderOrder confirmation
Label createdA shipping label existsTracking shows label created, no movement
Carrier hand-offThe carrier has the packageTracking shows picked up or in transit
DeliveredThe carrier has deliveredDelivery notice

When you compare 3PLs, ask how same-day performance is measured and reported, and whether the clock starts at order import or at label creation. Weekly reporting from OC3PL includes service levels, so you can check the number rather than take it on trust.

Why It Matters More for Apparel

Apparel orders often have a moment attached: a drop, a sale, an outfit for an event. A day of delay at the warehouse is a day the customer waits and wonders. It also shows up as "where is my order" tickets. See what is WISMO.

Drops make the cutoff harder. Hundreds or thousands of orders can arrive in the first hour. Hitting the cutoff on launch day takes a forecast and labor scheduled ahead. See apparel drop fulfillment.

What can push an order past the cutoff

  • A store-side hold, such as fraud review or a preorder flag.
  • An address problem the carrier rejects.
  • An item not in stock at the warehouse even though the store shows it available.
  • A promotion far bigger than forecast with no notice to the warehouse.

Same-Day at Volume

What it takes to keep the promise when orders spike.

Shipping the same day on a quiet Tuesday is easy. Shipping the same day when a thousand orders land in an hour takes planning. The warehouse needs people on the floor, packaging stocked, bundles built ahead and inventory received and slotted before the drop goes live.

  1. Send the warehouse a forecast at least a week ahead, with the date, time and expected order count.
  2. Build bundles and gift sets in advance so launch day is just picking and shipping.
  3. Make sure packaging and inserts are at the warehouse, with a buffer.
  4. Release the drop with enough of the day left for orders to make the cutoff, or tell customers that drop orders ship the next business day.
  5. Keep a direct line to your account manager while the drop is live.

If your store releases a drop late in the day, some orders will miss the cutoff no matter what the warehouse does. Timing the release is part of the plan.

Questions to Ask Any 3PL

  1. What is your cutoff time, and in which time zone?
  2. Does it apply to every order type, including bundles and gift notes?
  3. What counts as shipped: label creation or carrier hand-off?
  4. How is same-day performance reported, and how often?
  5. What happens on a drop day when volume is far above normal?
  6. Who do I call when an order misses the cutoff?

At OC3PL that last answer is your account manager. Your account manager works on site at our Anaheim fulfillment center, in the same building as your inventory. When something is urgent you call and talk to a person who can walk to the shelf and fix it. Call anytime. We are here. We got you.
