Hat and Headwear Fulfillment

Caps, fitteds, beanies and bucket hats, packed so the crown arrives the shape it left. Shipped from Anaheim, with someone on site.

Hats Ship Differently

A tee survives almost any mailer. A structured cap does not. OC3PL stores, picks, packs and ships headwear for streetwear, surf and lifestyle brands, either on its own or alongside the rest of your apparel, from Anaheim, California.

    What headwear brands get:

  • Packed in the packaging you choose

Boxes, rigid mailers or soft mailers, chosen by you per product and written into your packing instructions.
  • Fitted sizes slotted one by one

Every style is slotted by size and color, so a picker reaching for a medium in black is not digging through a bin of mixed sizes. A new collection is slotted and ready to ship within one business day of receipt.
  • Hats as add-ons and bundles

Kits can be built to stock ahead of time or to order as orders arrive. Most builds are completed within 24 to 48 hours, depending on volume.
  • Same-day shipping

Orders imported by 12 PM PST ship the same day.
  • Returns inspected for shape and wear

Returns are processed and logged within 48 hours of receipt, and many are handled the same day. Each item is inspected and restocked, discarded or donated by the rules you set.
  • Someone on site

Your account manager works on site at our Anaheim fulfillment center, in the same building as your inventory. When something is urgent you call and talk to a person who can walk to the shelf and fix it. Call anytime. We are here. We got you.

Why Hats Are Different

Shape is part of the product. Fulfillment either protects it or crushes it.

Headwear covers very different products. A structured snapback or fitted has a stiff front panel and a curved or flat brim that customers care about. An unstructured dad hat is forgiving. A beanie or bucket hat folds flat. Each needs a different packing decision.

Most hat complaints come from shape, not from the wrong item. A crown that arrives dented, a brim that arrives bent, a cap that spent three days under a heavier box in a carrier’s truck. These are packing decisions, and they should be made once, in writing, rather than by whoever is at the station.

Packaging That Protects the Crown

You choose the packaging. We follow it every time.

Packing follows your own standard operating procedures. For hats that usually means three decisions: what package each style ships in, how many hats can nest together in one package, and what goes around the hat, such as tissue, a bag or a crown insert.

Packaging materials can be supplied by you, and custom packaging covers mailers, boxes and bundles. If your brand ships in branded boxes, they are used at the packing station alongside the standard quality check.

The box trade-off

Boxes protect shape, but they cost more to ship than a soft mailer of the same weight, because carriers price larger packages by their size as well as their weight. That is dimensional weight. For a hat-heavy catalog it is worth checking a few box sizes against your carrier costs before you commit. Read what is dimensional weight? and apparel shipping costs.

Many brands land on a mix: structured caps in a box, beanies and unstructured hats in a mailer, and multi-hat orders in a larger box with the caps nested. Write the rule down and it will be followed.

Fitted Sizes and One-Size Styles

Fitteds are a size run like any garment. Treat them like one.

A fitted cap in eight sizes and three colors is twenty-four SKUs that look almost identical. The only difference is a size sticker inside the band. That is a mis-pick waiting to happen in a warehouse that stores them together.

Every style is slotted by size and color, so a picker reaching for a medium in black is not digging through a bin of mixed sizes. A new collection is slotted and ready to ship within one business day of receipt.

Every unit is scanned at the pick, so a 7 1/4 cannot ship in place of a 7 3/8 without the system catching it. On your side, make sure each size has its own barcode on the hat or its bag, not just on the carton. Read apparel barcodes and size and color variants explained.

One-size styles are simpler, but colorways still matter. A black cap with a black logo and a black cap with a dark gray logo are different products to your customer.

Hats in Drops, Bundles and Add-Ons

Hats are often the extra item that makes the order. Make it easy.

For a lot of streetwear and surf brands, the hat is the add-on: the tee-and-cap bundle, the gift with purchase over a spend threshold, the beanie that rides along in a winter order. Those rules can be applied at packing or built into kits ahead of time.

Kits can be built to stock ahead of time or to order as orders arrive. Most builds are completed within 24 to 48 hours, depending on volume.

For a drop where caps are the headline, the same drop planning applies as for any apparel release: date, styles, expected orders and packaging confirmed at least a week ahead, stock received and slotted before launch, and labor scheduled. Read apparel drop fulfillment and streetwear fulfillment for LA brands.

Wholesale Prepacks for Shops

Shops buy hats by the dozen. Ship them the way the shop wants to receive them.

Hats are a natural wholesale item: small, easy to display, and good for shops that carry a brand’s caps without its full apparel line. Shops often order in prepacks by color or fitted size ratio.

Wholesale orders ship from the same inventory as your website orders. Purchase orders are reviewed and routed per retailer, with retail-compliant and GS1 labels, advance shipping notices, EDI for major retailers and palletized freight. Small wholesale orders can go as parcels.

Agree carton rules with each account: how many hats per carton, whether they are nested, whether each is bagged. Written once, followed every time. Read apparel wholesale and retail fulfillment.

Returns: Shape, Wear and Fit

A returned hat is inspected before it goes back on the shelf.

Returns are processed and logged within 48 hours of receipt, and many are handled the same day. Each item is inspected and restocked, discarded or donated by the rules you set.

For hats, inspection looks at shape, sweatband wear, makeup or sunscreen marks, tags and stickers. Your rules decide what is restocked and what is set aside. Fitted exchanges are usually about size, so getting the exchange out fast keeps the customer.

Monthly return reports show reasons by SKU. If one fitted size comes back more than the others, the size guide may need work. Read apparel returns and exchanges.

Seasonal Headwear

Beanies in winter, bucket hats in summer, caps all year.

Headwear has its own seasons inside your catalog. Beanies and cold-weather styles lift as temperatures fall and as holiday gifting starts. Bucket hats and sun styles lift in summer. Caps tend to sell all year.

Storage is by pallet, shelf or bin, based on the space your inventory actually uses, and pro-rated daily. Invoices are weekly. Seasonal stock can grow and shrink without a committed footprint. Read apparel peak season fulfillment for how to plan the holiday stretch, when hats and beanies are popular gifts.

Someone On Site Who Can Look at the Hat

Some problems need someone to look at the product.

Is that brim bent from the factory or from packing? Is that stain on a return makeup or a manufacturing mark? These questions take seconds for someone standing at the shelf and days for someone answering tickets from somewhere else.

Your account manager works on site at our Anaheim fulfillment center, in the same building as your inventory. When something is urgent you call and talk to a person who can walk to the shelf and fix it. Call anytime. We are here. We got you.

Getting Started

Most clients go live within five to ten business days, depending on complexity.

  1. Talk to us about your catalog, channels, monthly order volume and busiest weeks. You speak with the people who would run your account.
  2. We connect your store, map every size and variant, and run test orders before any inventory moves.
  3. You write down your packing and return rules with photos, and we put them at the packing and returns stations.
  4. You send inventory with an advance shipping notice. It is received, photographed and slotted within one business day.
  5. Orders switch over. Your account manager sends weekly reporting on service levels, shipping costs and inventory status.

If you are moving from another warehouse, plan the switch for a quiet stretch, not right before your peak. Read switching apparel 3PLs.
