Receiving before release
Inbound is checked against your ASN, every SKU is photographed, and discrepancies are flagged in your portal.

Your audience buys the minute you post. The warehouse has to be ready before you do. We are here, we got you.
Creator and artist merch does not sell evenly. A video, a stream or a tour date sends a wave of orders in a few hours, then it goes quiet until the next one. OC3PL is built for that shape of demand. Teddy Fresh, the Los Angeles streetwear brand, ships from our Anaheim warehouse.
The problem is not volume. It is when the volume arrives.
A brand selling steadily ships a similar number of orders every day. A creator brand might ship a few dozen orders on a quiet day and several thousand in the hours after a video goes up. A warehouse staffed for the quiet day falls behind by lunchtime on the busy one.
Falling behind shows up fast in merch. Fans post their order confirmations. They post again when nothing has shipped. The comments under your next video fill up with "where is my hoodie". The audience that bought because they trust you now hears about the warehouse instead of the product.
Three things decide whether a merch drop goes well on the fulfillment side:
None of this is complicated. It just has to be planned, and someone has to be in the building when it happens. That is why your account manager at OC3PL works on site in Anaheim, not in a remote support queue.
A simple rhythm that works for one drop a year or one a month.
For a first drop with us, plan at least two weeks ahead. Once the rhythm is set, a repeat drop can be planned with a week of notice. The drop fulfillment page goes through launch day hour by hour, and planning a streetwear drop has a countdown you can hand to your team.
Merch rarely stays simple. Most creator and artist brands end up running several kinds of release at once.
| Release type | What changes for the warehouse | What to send us |
|---|---|---|
| Online drop tied to a post | A sharp spike in the first hours | Date, expected orders, size curve |
| Tour or event merch | Stock leaves for venues and the online store at once | Which styles go where, ship dates for venue stock |
| Collab with another brand | Two audiences, sometimes two stores | Who owns the order data, packaging rules for both brands |
| Limited numbered run | Every unit counts; no overselling | Exact quantities, whether to hold a buffer |
| Restock of a sold-out style | Back-orders may ship at once when stock lands | Inbound date and how many orders are waiting |
Collab drops have their own logistics. Two brands often want two sets of inserts and one shared box. The collab drop guide covers how to settle that before launch. For restocks, see restock fulfillment. For preorders, where fans pay before the product exists, see preorder fulfillment.
Fans open the mailer on camera. Pack for that.
Merch customers film unboxings, post them and tag you. That makes packaging part of the content. Packing at OC3PL follows your own written instructions for folding, bagging and packing, including inserts, stickers, wraps and branded mailers or boxes you supply.
Every extra touch is labor, so choose the ones your audience actually notices. Write instructions with photos, keep a buffer of packaging before a drop, and send new inserts before the stock they go with. Our article on launching a creator brand and the guide to apparel packaging and unboxing go deeper.
Creator brands send a lot of free product: to collaborators, to other creators, to friends and family, to press. Those shipments need the same accuracy as paid orders and often more care, because the recipient is about to post it.
Seeding kits can be built as kits ahead of time and shipped as a batch, or sent one by one as you decide who gets one. Either way the units come out of the same inventory, so your counts stay right. The influencer seeding kits page covers how to set up PR boxes, and OC3PL’s guide on fulfilling influencer orders covers the details.
Merch buyers often guess their size. Some guess wrong. Returns are processed and logged within 48 hours of receipt, and many are handled the same day. Each item is inspected and restocked, discarded or donated by the rules you set.
A fast exchange keeps the fan happy and keeps the story positive. Refunds can be triggered when the return is received or held until inspection, depending on your preference. An optional branded return portal keeps the experience consistent with your store. Our integrations directory includes Loop, Happy Returns, AfterShip Returns, Narvar and ReturnGo if you already use one.
Monthly return reports show which styles and sizes come back and why. If one hoodie keeps coming back in a size up, your size chart is telling you something. See apparel returns and exchanges for the full workflow.
No rate card, but no mystery either.
OC3PL does not publish a rate card. Pricing is quoted around your SKUs, order volume and workflows, with every line item spelled out. For a merch brand, the lines that move most are these:
| Line item | What drives it for merch | How to keep it in check |
|---|---|---|
| Receiving | How many styles and sizes arrive, and how they are labeled | Send labeled, bagged units with an advance shipping notice |
| Storage | How much stock sits between drops | Storage is pro-rated daily, so sell down slow styles |
| Pick and pack | Units per order and extra packing steps | Choose the inserts your audience actually notices |
| Kitting | Sets, signed bundles and mystery packs | Build fixed sets ahead; keep build-your-own simple |
| Returns | Fit-driven exchanges after each drop | Clear size charts and fast processing |
| Shipping | Weight, size and destination | Right-sized mailers; billed at what the carrier charges |
Invoicing is weekly, so costs track each drop instead of arriving as one large month-end bill. There are no setup fees, no minimums and no long-term contract, which suits a brand whose volume comes in waves. See apparel fulfillment pricing for the full breakdown.
Many creator brands come to us after a drop went badly somewhere else. Moving is simpler than it sounds if it is timed right. Most clients go live within five to ten business days, depending on complexity.
Your onboarding manager runs the move alongside the account manager who stays with you after go-live. See switching apparel 3PLs for the detailed sequence.
Once a merch brand passes a thousand orders a month, the drops get bigger and the gaps between them get shorter. Packing from a garage or a spare office stops working. So does a warehouse that treats every drop as a surprise.
At that size, what matters is a repeatable rhythm: the same planning steps before every drop, the same packing instructions on every order, and the same person on site who knows your brand. That is how OC3PL runs merch. See in-house vs 3PL past 1,000 orders if you are deciding whether to outsource.
A creator brand is personal. When something goes wrong, your name is on it, not the warehouse’s. You need to reach someone who can see the problem and fix it while the drop is still live.
Your account manager works on site at our Anaheim fulfillment center, in the same building as your inventory. When something is urgent you call and talk to a person who can walk to the shelf and fix it. Call anytime. We are here. We got you. All client requests are acknowledged within two hours, and support is never outsourced.
That matters most on the hardest day of the year for your brand: the day the drop goes up. Read more about how on-site support works.
